I. Adding Judges to Your Program
You can add reviewers individually, in bulk, or by moving them from a previous round. All actions begin by clicking + Add Judge in the Judges tab.
A. Invitation Methods
Add a single judge: Enter First Name, Last Name, and Email.
Add multiple judges: Choose one of two options; Paste emails (list separated by commas) or Upload CSV (two columns: email and name, no headers).
Add judges from another round(s): Select the source round from the dropdown menu, then select specific judges or choose "Move all judges from the previous round."
B. Invitation Options
These options are available when adding judges across all methods:
Automate judges assignment: Automatically assigns submissions when judges log in.
Send an instant login link: Sends a one-time "magic link" that allows judges to log in without setting a password (link expires in 60 minutes).
Customize message: Overrides the default invitation template for the current round.
Note: What judges receive is an email with the login options. If the magic link expires, they can request a fresh one from the same email.
II. Managing Judges
The Judges tab allows you to monitor evaluation status and control how submissions are allocated.
All actions for managing judges—including quick actions, password resets, and sending messages—are available from either:
The Actions menu (three dots) on a judge's row, or
The action bar above the Judges table (when one or more rows are selected).
A. Quick Actions
Action | Purpose |
Add Star / Add Tag | Mark a judge as a favorite (Star) or apply labels (e.g., “AI,” “Senior”) for easier filtering. |
Add Note | Store context like a judge's expertise or availability. |
Send Message | Email the selected judge(s) directly from within the round. |
Export | Download the judge list and their details. |
Edit | Update a judge’s name, email, panel, or other profile details. |
Reset Password / Change Password | Initiate the process to help a judge regain access to their account. |
Instant Login | Send a one-time magic link (expires in 60 minutes) that allows a judge to log in without needing a password. |
Remove | Delete the judge from the round (requires confirmation in a dialog box). |
B. Assigning Submissions
Use Assign Submissions to control submission allocation:
Default (Manual): Requires you to manually pick specific submissions from the Submissions tab.
By Submission Tracks: Submissions are auto-assigned based on the Track the judge is qualified to review.
By Participant Tags: Submissions are auto-assigned based on specific tags applied to the participant.
III. Creating and Managing Panels
Panels are groups of multiple judges that can be managed and assigned submissions collectively.
A. Creating a Panel
Navigate to the Panels sub-tab.
Click + Create Panel.
Enter the Panel Name and select the judges to include (multi-select).
(Optional) Enable Automate judges assignment for the entire panel.
Click Create / Add to save the panel.
B. Managing Panels
Assign Submissions: Use the row Actions menu (three dots) to allocate submissions to the entire panel using the same allocation methods (Manual, By Submission Tracks, or By Participant Tags).
Troubleshooting Tips
Judge can’t log in? Resend invitation or Instant Login from the Judges list; verify the email is correct.
No submissions assigned after login? Confirm Automate judges assignment is enabled for the judge or panel, or assign manually.
